The missing Ctrl + F in your financial life

From policies to property papers, put your family’s financial information in one place

When life changes suddenly, families have enough to deal with. Searching for an insurance policy, investment statement or property document should not add to the uncertainty.

There is something we take for granted when working with information on a computer. If we cannot find a file, we press Ctrl + F, type a few words and usually find what we are looking for.

There is no Ctrl + F for physical life.

If an insurance policy is somewhere in a cupboard, property papers are in a locker, an investment statement is sitting in an old email account or an important contact number exists only in someone’s phone, finding it can take considerably more effort.

One person often becomes the keeper of the family’s financial information. The rest of the family may know broadly what the family owns. It is an entirely natural arrangement. But there is an interesting risk hidden inside it.

Concentration risk

We routinely talk about concentration risk in investments. We know that depending too heavily on one company, asset class or sector can make a portfolio vulnerable. What about concentration of financial knowledge?

A family can have a diversified portfolio and still have a single point of dependence when it comes to finding and understanding its financial information.

This matters not only between spouses but also across generations.

Children grow up in families where financial decisions are being made around them. As they become adults, they increasingly interact with banking, digital payments, investment platforms, insurance and other financial products themselves. At some point, knowing what the family has and how its financial affairs are organised becomes part of their financial education.

What matters in such critical times is having enough shared awareness to navigate the family’s financial affairs.

Organising information

One practical way of doing this is to organise the information itself. This is where FIDOK, the Family Financial Information and Documents Organiser Kit, comes in handy. At its simplest, it can be thought of as a Ctrl + F for the family’s financial life.

FIDOK brings together the information that families typically have scattered across files, emails, folders, bank accounts and physical locations.

It begins with the family itself, capturing details of family members, dependants and important contacts. It then moves to identity and other essential documents, including document numbers, who holds them and where the physical and digital copies are stored. The location is recorded in enough detail to actually find the document — whether it is on the second shelf of the almirah in the office room or in a particular file in a cupboard.

The location of the digital copy is recorded too, whether it is in DigiLocker, Google Drive or another designated location.

Document expiry dates and renewal requirements are recorded as well.

For families that use lockers, relevant locker information is recorded along with details that help locate important documents. Information about important online accounts is recorded too, reflecting the increasingly digital nature of a family’s financial life.

The financial information covers life insurance, health insurance and other insurance policies. Bank accounts, debit and credit cards are listed along with investment accounts covering mutual funds, fixed deposits, PPF, EPF, demat accounts and other investments.

The details go beyond simply listing the account or policy. For bank accounts, the relationship manager’s details are recorded. The contact details of the family’s financial adviser are recorded as well. For estate planning and property matters, the advocate’s details are included.

Property is another important component. Details of properties are recorded along with information about where the related property papers are kept.

Do not store your ATM PINs or online passwords in FIDOK. It would be prudent to note down PINs and passwords in separate documents, and mention where they’re stored in FIDOK.

The completed FIDOK is maintained as a physical printout and kept in a safe place in your house. Since it brings together a significant amount of personal and financial information, it needs to be treated with the same care as the documents it helps locate. It is preferable not to use online apps to store FIDOK. If you choose to do so, ensure that the service offers encrypted storage and multi-factor authentication.

Importantly, family members should know where FIDOK is kept and have access to it — otherwise, it defeats the purpose.

The idea is not to create another financial statement. It is to bring together the information a family already has but may otherwise have to search for across several places.

Once everything is in one place, you know what the family has, where it is kept and whom to contact when something needs attention. When important information is accessible to the people who need it, there is less uncertainty and less dependence on one person’s memory. Sometimes, that knowledge itself can be a form of financial security. In today’s day and age, FIDOK could be of significant help especially to those families, where children are settled abroad or live in different locations in India.

We have Ctrl + F on our computers because information is useful only when we can find it. Perhaps families need their own version of it. Knowing where you stand — and where to find what you need — can be a form of financial security in itself.
